They can be. As of October 2026, Handshake AI and Polyshares name ServiceTitan, Troveo shows it among one construction company’s systems, and Scale AI and Miro Advisory name field-service work. What sets ServiceTitan apart is the chain it keeps from the customer’s call to the booked job, the technician’s photos and forms, the invoice and the payment.

What is in a ServiceTitan job record that our other systems don’t have?

The whole job, from the first call to the last payment, in one place. Polyshares’ ServiceTitan guide (checked September 2026) says: “ServiceTitan links a call, a booked job, the technician’s work, the invoice and the payment in one chain. That makes it possible to see which diagnoses led to which repairs and what the customer paid.” ServiceTitan’s help center describes the pieces:

The same guide says years of jobs across many technicians show how the same equipment problems get handled in different homes, seasons and price points, and that “Photos and notes attached to jobs add the field evidence behind each outcome.” Nyne describes the kind of record it wants as “the project and service records that show work moving start to finish”.

Which buyers say they take ServiceTitan or field-service records?

As of October 2026, eight providers name ServiceTitan, field-service work or construction among what they take. Two of them, Miro Advisory and Sell My Business Data, are introducers and do not pay you themselves.

For call recordings, Polyshares names them among the records it licenses and LH2 AI Labs lists “Recorded work” covering calls, meetings and floor video; the video and audio list covers buyers of recordings. Appen, Avelence, Mercor, micro1 and Replay do not name field-service software or the trades on their program pages. Troveo’s systems page adds, “If your team works in it, it’s likely to be valuable.”

How far back does ServiceTitan keep our jobs and call recordings?

ServiceTitan’s terms and help articles set no time limit on job, invoice, photo or phone-recording history while you subscribe (checked October 2026). The written rules cover in-home recordings on ServiceTitan Max, kept until you set a retention period, and the 60 days after your subscription ends.

What ServiceTitan holds: Customers and service locations, Calls and call recordings, Jobs and appointments, Estimates, invoices and payments, Forms, photos and attachments, Memberships / service agreements, Installed equipment, Field recordings (ServiceTitan Max, Field Pro), Employees, technicians, timesheets and payroll.

The table leaves out three things:

  • Your recording archive starts when recording was switched on. Recording is a setting for inbound and outbound calls, and if you use Contact Center Pro, some calls follow its settings instead (ServiceTitan, updated July 10, 2026). ServiceTitan’s call-recording articles state no retention period for phone recordings. Play the oldest call on an early job to see where your archive begins.
  • Jobs from before ServiceTitan. If you switched from another system, ServiceTitan’s import templates are spreadsheets for customers, equipment, jobs, estimates and receivables (ServiceTitan, updated March 27, 2026), with none for recordings or photos. Older calls and photos stay in the old system, if it still exists.
  • Leaving takes notice and a request. Cancellation goes through your Customer Success Manager (ServiceTitan, updated March 27, 2026). Beyond the backup format in the table, the Terms of Use say service fees may apply and ServiceTitan makes no representation about the export’s completeness or timeliness (ServiceTitan, updated September 16, 2026). Export the reports and recordings you want while you still have access.

How do I export our ServiceTitan data?

Mostly as reports, one record type at a time. Recordings and photos come out one file at a time.

For the sample tool, open each XLSX in Excel and save it as CSV (File > Save As > CSV UTF-8). The tool recognizes a ServiceTitan job report by columns such as Job #, Business Unit and Technician, and an invoice report by Invoice # with its totals; it counts rows by month and builds a redacted sample of 50 rows per spreadsheet. Through the API, Fivetran’s connector documentation lists tables for jobs, calls, estimates, invoices, memberships, form submissions and payroll, and none for recording audio or photo files (Fivetran).

Our job records are full of homeowners’ names and addresses. Can those go out?

They go out only in the form the license sets. Names and addresses can be replaced before anything leaves, and whole record types, such as recordings, can stay out of scope. Every job, estimate and invoice carries a customer and a service location, call recordings carry homeowners’ voices, and photos can show the inside of their homes. ServiceTitan’s call-recording overview notes that recording pauses automatically when a customer service representative opens the Charge Credit Card screen (ServiceTitan).

Homeowners are the people in a residential trade’s records that state privacy law covers most directly. Is it legal to sell company emails and records? sets out the Texas rules, which turn on company size and on whether the data is deidentified, and recordings add consent questions covered there and in the video and audio list.

In a report export, the sample tool turns customer and location name columns into labels such as Customer 01, location address columns into [ADDRESS] and ZIP codes into [ZIP], and technician, sold-by and dispatcher columns into Person 01; phone numbers and email addresses are replaced wherever they appear. Amounts stay unless you switch them off. It does not open recordings or photos; a folder of them is counted by file type, size and date.

Can I leave out certain customers, people or folders? covers writing exclusions into the scope, such as commercial accounts under confidentiality terms or every recording, and what “anonymized” means covers what providers say they remove.

Can a buyer connect to ServiceTitan instead of us exporting?

A connection runs through ServiceTitan’s API, and its API terms restrict AI training. The API Terms, updated April 15, 2026, forbid using data obtained through the APIs to train, fine-tune or benchmark AI, and forbid providing, selling or licensing that data to third parties for AI training, unless another written agreement with ServiceTitan allows it. They also bar storing API data for more than 24 hours unless the terms or documentation allow it, and limit a customer’s own Custom Application to “the tenants you directly own and administer”.

Reports you export yourself come out of the app rather than through the API, and ServiceTitan’s Terms of Use say “Customer owns and retains all right, title, and interest in and to all Customer Data”. Which terms reach a particular license is a question for your own lawyer, and Is it legal to sell company emails and records? lists the documents to read. If a provider proposes connecting to ServiceTitan, ask to see the written agreement with ServiceTitan that permits its use. Is ServiceTitan already using our data for AI?

For its own products, yes, by default; its terms rule out training for third parties. The Terms of Use let ServiceTitan use Customer Data to “train, tune, and improve AI models solely to provide the Service to Customer”, say it will not use it “to train AI models for the benefit of any third party or any model made generally available to other customers”, and give ServiceTitan ownership of what they call Aggregate Data.

Separately, ServiceTitan’s Titan Intelligence data preferences cover using your data to develop its products, including AI and machine-learning features, and aggregated, non-identifiable data for industry benchmarks. “By default you are automatically opted into sharing data for these options”, and an administrator can change them under Settings > Titan Intelligence (updated March 27, 2026).
