Why trust us

Yes, mostly alongside your other records. As of October 2026, nine providers name QuickBooks. Your ledger records payments and dates; providers describe more useful archives when transactions connect to the jobs, approvals and emails behind them.

What does a QuickBooks transaction history show on its own?

The money side of the business, line by line. Polyshares’ QuickBooks guide (checked September 2026) describes it this way: “QuickBooks ties every invoice, bill and payment to a customer or vendor, an account and a date. Across several years that is a clean record of how a small business actually earns and spends money.” The same guide says how a bookkeeper categorized transactions, and later corrected them with journal entries, “is useful signal for models that read and classify financial documents”.

Around the ledger, a QuickBooks Online company file can hold more:

  • Estimates and purchase orders, which do not post to your accounts and are exported separately from the rest (Intuit, updated August 3, 2026).
  • Projects, on Plus, Advanced and Intuit Enterprise Suite, which gather one customer job’s transactions, estimates and expenses in one place (Intuit, updated August 20, 2026).
  • Attachments: receipts and documents linked to bills, invoices, expenses, estimates and customer or vendor profiles (Intuit, updated August 5, 2026).
  • Audit history for each transaction: who changed it, when, and what changed (Intuit, updated August 18, 2026).

The ledger does not hold the reasoning. A credit memo, for example, records that a customer was credited $1,200; the email about the disputed line item and the job notes that settled it live in other systems.

Is it worth more alongside our job records and emails?

Yes, according to the providers that price it. Appen says “Connected systems are worth considerably more than isolated exports” and lists “ERP & finance” among the systems of record it takes. QuickBooks connects to the rest through a shared identifier: an invoice number, a customer name, a project name, a job number typed into a memo.

For trade businesses on ServiceTitan, the link is built in. ServiceTitan’s QuickBooks Online integration sends invoices, payments, expenses and sales tax from ServiceTitan into QuickBooks in batches (ServiceTitan, updated August 5, 2026), so each sale exists in both systems, with the call, the job and the photos on the ServiceTitan side.

Take a hypothetical 30-person plumbing company. A homeowner emails about a slab leak, the estimate and the job sit in the field-service system, and QuickBooks records the invoice, a partial payment and a credit memo after the homeowner disputes a charge by email. The ledger alone shows three entries. With the email thread and the job record beside it, a reader can see why the credit memo was issued. Which buyers explicitly name QuickBooks?

Nine providers name QuickBooks on their own pages, checked October 6, 2026. This table uses that exact system-name test. Four are introducers, which match you with a buyer and do not pay you themselves.

A provider can want accounting records without naming QuickBooks. The accounting-records page uses a broader test, including ledgers, invoices, reconciliations, financial records, accounting software and ERP or payroll systems. It lists Appen, Mercor, micro1, Replay, Scale AI and Telegraph Lab (commercially affiliated with this site) on that basis. Neither table means a buyer has approved your particular export.

Nyne also says its anonymization removes financial records among other sensitive material (source). Ask which fields that excludes from the accounting history it seeks. The buyers directory gives each provider’s payment model.

How far back does QuickBooks Online keep transactions?

For as long as you subscribe. Intuit’s usage limits cap users, chart-of-accounts entries, classes and locations, and custom fields per transaction, and list no cap on transactions or years of history (Intuit, updated August 5, 2026). The deadlines start when a subscription ends.

What QuickBooks Online holds: Posting transactions, Non-posting transactions, Lists, Attachments, Per-transaction audit history, Audit log, Users and roles.

Three things the table cannot show:

  • Years before you moved to QuickBooks Online. Intuit’s move from QuickBooks Desktop offers two choices, “Bring all your company data” or “Bring only list and balances” (Intuit, updated September 1, 2026). If the second was chosen, the earlier transactions exist only in the old Desktop file. Open the oldest transaction in QuickBooks Online, and ask your bookkeeper where the Desktop file is.
  • The books outlast the audit log. The two-year audit log limits the record of sign-ins and edits, not the transactions. A 2016 invoice is still in the books after the 2016 edits to it have left the log.
  • What happens after the read-only year. Intuit’s article on cancelling does not say. It lets former paid subscribers export to Excel or to a desktop version of QuickBooks for up to a year after cancelling, gives trial users 90 days, and advises you to “export or print your data before you cancel” (updated August 5, 2026).

If you are changing accounting systems or closing the business while you decide, export the full history before the subscription ends.

How do I export our QuickBooks Online data?

Run a transaction report for the counts and a sample, and the Export data tool for the full history.

For record counts and a sample:

  1. Go to Reports > Standard reports and open Transaction List by Date or Journal. Intuit lists both as standard on Simple Start, Essentials and Plus (Intuit, updated August 10, 2026).
  2. Set the dates to cover your whole history.
  3. Choose Export/Print > Export to Excel (Intuit, updated August 4, 2026). If rows seem to be missing when the file opens, select Enable Editing, as Intuit’s article notes.
  4. In Excel, save the file as CSV (File > Save As > CSV UTF-8) and add it to the sample tool. The tool recognizes a QuickBooks transaction or journal export from its column names, skips report title rows above the headers without keeping them, and counts transactions by month.

For the full history:

  1. An admin opens Settings > Tools > Export data, picks the widest pre-selected date range and selects every report and list. The table above sets out what this zip of Excel files covers.
  2. Export the rest from their own screens (Intuit, updated August 3, 2026): estimates from Sales transactions filtered by type, purchase orders from Expense transactions, and attachments from Settings > Attachments > Batch actions > Export, which downloads a zip.
  3. Plan for attachments in batches. A user reported in Intuit’s community that the Attachments list shows 150 files at a time, so a large archive goes out page by page (Intuit community).

Who in our company can run the export?

Whoever holds admin access, for the full export. Reports are open to more roles:

Check who the primary admin is before any export work starts. If it is an outside bookkeeper or a former employee, Intuit’s user article explains how to change the primary admin. Deleting a user is permanent, though their past actions stay visible in the audit log for its two-year window.

Our books are full of customer and vendor names and amounts. Does that go out?

Only in the form you agree to: names can be replaced and columns left out before anything leaves, and the license sets the scope. In a QuickBooks transaction export, the Name column carries a customer or vendor on every line, the Memo/Description column can hold more names and job addresses typed by hand, and Amount shows your prices and costs.

The sample tool treats a QuickBooks Name column as customers, so each name becomes a consistent label such as Customer 01 wherever it appears. Email addresses, phone numbers and street addresses in any cell are replaced too. Amounts are kept by default, because prices help a buyer judge the records, and one switch replaces them with [AMOUNT]. You can leave out whole columns, such as Memo/Description, and a name typed only into a memo needs free-text detection or your own review.

Decide what stays out before anyone prices it: customers whose contracts carry confidentiality terms, and payroll reports, which hold your employees’ pay. Can a buyer connect to QuickBooks instead of us exporting?

Yes, through an app you authorize, and some providers offer that instead of receiving a copy. Intuit’s terms for third-party apps say that when you use them, Intuit or the third party “may transfer your data to and from QuickBooks”, that you are responsible for reviewing the third party’s own terms, and that Intuit is not liable for how the third party handles your data.

Intuit’s General Terms for QuickBooks Online (version 02122026, current in October 2026) say “Your Content remains yours”. Their list of prohibited uses of the platform includes “training or developing artificial intelligence or machine learning models or related technology using information derived from the Platform without authorization”. How that wording applies to records you export and license is a question for your own lawyer; Is it legal to sell company emails and records? covers which documents to read.

An export you run yourself keeps the choice of reports, dates and columns with you before anything is sent.
