HubSpot deal history interests AI buyers: eleven tracked providers name it as of October 2026. Record exports omit activities, and each deal property saves up to 20 revisions, so check both before describing your archive.
Do AI buyers want what is in our HubSpot?
Yes, when it records selling as it happened. Polyshares’ HubSpot guide, checked October 6, 2026, describes the sequence from first contact to the sale’s outcome, including logged emails, calls, meetings and notes. CRM records compares that history across systems. In HubSpot, check:
- Whether reps logged their work. Non-inline attachments on emails sent from HubSpot or logged with HubSpot Sales are added to the record automatically (HubSpot, updated December 22, 2025). Mail never logged stays in the mailbox, and a deal with stage changes but no activity shows what happened without showing why.
- How much property history is left. HubSpot saves up to 45 revisions per contact property and 20 per company, deal, ticket or custom object property, “including both those made within HubSpot and via API” (updated September 8, 2026). A property that an integration or workflow rewrites often can reach the cap, so export the stage, amount and close-date histories early.

How far back does our HubSpot keep records?
Property history has revision caps, deleted items have recovery windows, and a Super Admin can configure automatic deletion of inactive contacts. A current deal record does not guarantee its whole history is still available.

What HubSpot holds: Contacts and companies, Deals and pipelines, Tickets, Logged activities (emails, calls, meetings, notes, tasks), Conversations inbox, Attachments and files, Custom objects and products, Marketing content and form submissions, Users and owners.
The table leaves out three things:
- Whether the inactive-contacts switch has been on. It sits under Settings > Privacy & Consent > Privacy tools (HubSpot, updated January 21, 2026). If it ran, contacts it removed more than 90 days ago are gone, which can explain a gap in old contacts.
- Files run on a shorter clock. Deleted files can be restored for 30 days: “After which, the files will be permanently deleted.” (updated August 3, 2026).
- Subscription expiry and account termination differ. The Customer Terms, last modified September 16, 2026, generally continue Free Services when a paid tier expires, except termination for cause. Free Services can later be terminated for inactivity. Export what you want before ending the service; company closing covers the handoff.
How do we export our HubSpot data, and who has to do it?
Object by object, by a user with Export permission. Logged activities need their own route, and backups and file exports need a Super Admin. As of October 2026:

The backup covers contacts, companies, deals, tickets, custom objects, products, calls, conversations and tasks. It leaves out associations and activity, so a deal in it arrives without its contacts or emails; pair a record export that includes associations with one of the activity routes. Inbox conversations and marketing content are in HubSpot’s export guide (updated August 25, 2026).
For the sample tool, choose CSV. HubSpot zips any CSV over 2MB, and the tool reads only Slack .zip files, so unzip HubSpot’s and add the CSV files themselves. It recognizes a deal export by columns such as Deal Name, Deal Stage and Close Date, and a contact export by Contact owner and Lifecycle Stage beside name and email columns; its month counts use the detected date column, such as creation or close date. They do not reconstruct every deal’s stage changes.
What happens to former employees’ HubSpot records?
Logged emails and notes remain when a user is removed, and their former records can show Deactivated/Removed with their email address until reassigned. HubSpot retains a deactivated user’s profile and associated data for reporting and forecasting. There are exceptions for other assets: their scheduling pages are deleted (HubSpot, August 3, 2026).
- Their logged history ends when they leave. Deactivation disconnects their individual work email, and “They’ll be unable to log new emails to the CRM.” Anything a rep never logged is not in HubSpot but in their mailbox, which may have its own deadline; see former employees’ mailboxes.
- Their name stays on the records. The sample tool replaces owner columns with labels such as Person 01, and what “anonymized” means covers what providers say they remove.
Which buyers say they take HubSpot data?
Eleven of the 25 providers Data Licensing Report tracks name HubSpot on their own pages, and six more name CRM records without it (October 2026). Every provider, Telegraph Lab (affiliated with this site) included, faces the same test: its own pages must name HubSpot or CRM records. The table distinguishes introducers and the marketplace from direct licensees and the licensing agent.

Six more mention CRM records without naming HubSpot: Appen (CRM and sales), Mercor (Salesforce records), micro1 (CRM data), Replay (CRM data), Scrimdata (CRMs) and FileYield, a listing service describing CRM notes. Their CRM mentions do not establish HubSpot support.
Eight fall outside that test: Handshake AI names ServiceTitan without explicitly naming CRM; Sunset describes customer-list asset sales; LH2 AI Labs shows Salesforce as a rebuilt product environment; Defined.ai gives general sales-data examples. Google’s Content Offer Pilot, idler, SimpleClosure and Turing do not name CRM or HubSpot on the checked program pages. CRM records compares all 25.
Can a buyer connect to our HubSpot instead of us exporting?
A connection is technically possible, but the Developer Terms, last modified May 4, 2026, restrict AI training with data obtained through HubSpot’s APIs, SDKs or MCP servers. The exception is a model trained solely on one customer’s data, with express permission, exclusively for that customer; it cannot benefit other customers or broader models.
The terms also limit storage to reasonable, lawful periods needed for the app and require express permission before sharing customer data with third parties. The Acceptable Use Policy, last modified September 16, 2026, bars automated systems making more requests than a person reasonably could with a browser, including scraping or harvesting.
An export from HubSpot’s own interface follows a different route from an app reading its API. The Customer Terms recognize your ownership of Customer Data; ownership alone does not resolve the proposed license. Ask a provider which route it uses and which terms cover that use. Is HubSpot already training AI on our data?
HubSpot may use Customer Data for its own AI features under the Customer Terms. Its AI training article, updated September 8, 2026, says training is on by default; Super Admins can turn it off under Settings > Account management > AI > Access. Accounts with Sensitive Data enabled are automatically opted out and cannot opt in. Opting out affects future training, not data already used in trained models.
Some models use one account’s data; others train across accounts. HubSpot says its third-party AI service providers cannot train on customer data. The guide sets out the steps for a separate license.
