AppFolio maintenance and property records may interest AI buyers. Three providers explicitly name property records or property-management systems as of October 2026. Start with report exports; tenant screening information has separate use restrictions.

What is in AppFolio that AI buyers might want?

The working record of each building: who lived there on what lease, what broke, who fixed it, what it cost and who paid. AppFolio’s API reference and product pages show the pieces:

For example, one leaking water heater becomes a request, a work order, a vendor’s bill and a line on the owner’s statement. If you manage for other owners, much of that file may be theirs: the property management page covers whose records they are, and AppFolio’s terms let it “transfer a database to the rightful owner” in a dispute (Section 13). Job photos covers inspection photos.

How far back does AppFolio keep our records?

Your available history depends on what was migrated and retained in the account. The Core, Plus and Max terms, updated January 30, 2026, describe migration and termination, without promising a fixed period for every record (Core, Plus, Max).

When planning an export:

  • Older history depends on migration. At onboarding AppFolio migrates “certain of your data” (Section 1.4). Anything not migrated stays in the old system, if it still exists; see old systems.
  • Leaving is slow to arrange and quick to end. Non-renewal needs written notice at least 30 days before the term ends, and ending early costs 50% of the remaining fees (terms, Sections 6.1 and 6.4). If you end or let the subscription expire, Section 6.3 expects you to retrieve data before it ends. AppFolio may immediately deactivate the services and later delete the account. If AppFolio terminates, it grants limited retrieval access for up to 30 days, provided undisputed charges are paid.
  • Your order form can differ. Its terms supersede the public ones (terms, introduction).

How do we export AppFolio data, and who has to do it?

Through reports available to your users, or the API included on Plus and Max. AppFolio’s public help documents the client Owner Portal; its November 2023 blog also describes exporting Report Builder results.

AppFolio supports custom roles and permissions. Give the export task to someone who can access the intended records. An Owner Portal export contains what the property manager has shared with that owner; it does not establish what staff can export from the full account.

For the sample tool, save each XLSX as CSV. The tool reads column headers rather than recognizing AppFolio by name: Tenant columns become Customer 01, Owner columns Person 01 and Vendor columns Company 01. Property and unit name columns are kept, so check building names in the review.

What happens to the records of staff who have left?

Remove their access promptly; preserve an export of the audit information you want to retain. AppFolio’s terms make the customer responsible for promptly removing access when authorization changes (Section 5.2). The Auditing Center displays maintenance activities and edits with their time and author. This product description does not promise how long attribution survives user removal. Confirm that behavior before changing an account needed to retrieve old work.

Our AppFolio holds tenant screening reports. Can those go out?

Keep screening reports separate from the maintenance and accounting package. The FTC’s guidance for landlords identifies tenant screening reports as consumer reports. The Fair Credit Reporting Act limits their furnishing and use to permissible purposes.

AppFolio’s FolioScreen terms, updated September 21, 2026, add their own limits: one certified use for tenant screening, and no third-party transfer except as expressly required by law. AppFolio’s API terms bar using its APIs for “any purposes governed by the Fair Credit Reporting Act”.

Describe the screening exclusions separately from work orders and bills. If a note or field reproduces information from a screening report, have that particular field checked too. Regulated data explains record exclusions, and the property management page covers the other tenant-file questions.

Which buyers say they take AppFolio or property management records?

Three providers name relevant records or systems on their own pages, as of October 2026. The test is an explicit AppFolio, property-record or property-management-system mention; an industry label alone is insufficient. None of these sources names AppFolio itself.

Can a buyer connect to AppFolio instead of us exporting?

Only with AppFolio’s consent. Its terms say third-party service or API access requires prior consent (Core, Plus and Max, January 30, 2026), and they bar using automated retrieval, scraping and indexing.

  • The API. AppFolio’s Company APIs terms (September 21, 2026) license the Database, Query and Report APIs use in connection with the subscribed services, bar bulk extracts that abnormally load its servers, and let AppFolio revoke API keys at any time.
  • Stack apps. Partners apply, complete a security questionnaire and sign before listing (AppFolio); enabling one consents to its access to your data under your own agreement with that provider (Section 15.1).
  • AI assistants. The Realm-X Connector lets an outside assistant read, transmit or modify account data, and AppFolio does not control or see how the connected provider handles data (Section 4.9.3).

The customer retains ownership of its data, while separate clauses restrict third-party access and making the services or their content available to others. How those clauses apply to a license is a question for your lawyer; Is it legal? lists what to read. If a provider proposes connecting, ask to see AppFolio’s written consent, and see How much work is it? for connecting versus sending a copy.

Is AppFolio already using our data for AI?

Its terms authorize specified uses for its own Realm-X features; that does not establish whether a particular account’s records have been used. AppFolio may use and retain what you enter into Realm-X and what it returns, and share them with partners, for purposes including developing, training and improving Realm-X; you keep ownership of what you enter. Under the base terms, AppFolio uses Business Data to provide, improve, develop and market the services, anonymizes it for public industry reports, and says “We do not and will not sell your Business Data.” When a software vendor wants your data explains how that differs from licensing records to a buyer.
